Personal Training Terms and Conditions
1. Introduction
Your agreement is with your personal trainer (the “Trainer”), who is responsible for delivering your training sessions. These Terms and Conditions form part of your agreement with the Trainer. You acknowledge that the Trainer is self-employed and that this agreement is solely between you and the Trainer.
By instructing the Trainer to commence personal training services, you confirm your acceptance of these Terms and Conditions and will be considered a client (“Client” or “you”). You are advised to pay particular attention to the provisions relating to cancellations.
These Terms and Conditions apply to all personal training sessions purchased.
2. Trainer Obligations
a) The Trainer will use their skills, knowledge, and experience to design a safe and effective exercise programme, taking into account your lifestyle, personal goals, fitness level, and medical history.
b) The Trainer will provide coaching, supervision, guidance, and support to assist you in achieving your goals. Each personal training session (a “Session”), following the initial consultation, will last approximately 60 minutes.
c) You acknowledge that results from any fitness programme cannot be guaranteed. Progress depends on your commitment, effort, and cooperation both during and outside of Sessions. Individual results may vary.
d) All client information will be treated as strictly private and confidential, in accordance with applicable data protection legislation, including the UK GDPR.
3. Client Obligations
a) Both you and the Trainer agree to commit fully to the training programme in order to achieve the best possible results.
b) You are required to attend each Session on time to ensure the full training programme can be delivered.
c) You must wear appropriate clothing and footwear for all Sessions.
d) You are required to complete a Physical Activity Readiness Questionnaire (“PAR-Q”) prior to your first Session.
e) The Trainer may request written medical clearance from your GP before you commence training. Please note that your GP may charge for this service.
f) You must inform the Trainer of any medical conditions, injuries, or changes to your health, both prior to and during the course of your training, that may affect your ability to exercise safely.
g) Where additional medical information is required, you agree to provide details from a relevant healthcare professional.
h) You acknowledge that participation in physical exercise carries inherent risks. You agree that the Trainer shall not be held liable for any injury sustained during training, except where such injury results from the Trainer’s gross negligence or wilful misconduct.
i) The Trainer cannot be held liable for any injuries or conditions arising from undisclosed or unknown medical conditions.
4. Payment Terms
a) All Sessions must be paid for in advance of commencement.
b) Accepted payment methods include bank transfer (e.g. GoCardless) or cash paid directly to the Trainer.
c) Payments will be collected on the 1st day of each month unless otherwise agreed.
d) Fees are calculated based on 48 weeks per annum.
5. Cancellation and Refund Policy
a) A minimum of 24 hours’ notice is required to cancel or reschedule a Session. Notice must be provided directly to the Trainer via email, text message, or telephone. Failure to provide adequate notice will result in the full Session fee being charged. Exceptional circumstances may be considered at the Trainer’s discretion.
b) If you are unable to continue training due to a medical condition, a refund will be issued for any unused Sessions. The Trainer may request supporting medical evidence from your GP.
c) All other refunds are issued at the discretion of the Trainer.
d) A minimum of four (4) weeks’ written notice is required if you wish to terminate your training agreement.
6. Lateness Policy
a) If the Trainer is more than 15 minutes late for a Session, you will be entitled to receive the remaining Session time plus a complimentary Session.
b) If you are late, your Session will be shortened accordingly. If you are more than 20 minutes late, the Session may be cancelled and treated as a missed Session, with no refund provided.
7. Holidays
a) The Trainer will provide at least two weeks’ notice of any planned holidays during which Sessions will not be available. You agree to provide similar notice where possible.
b) The Trainer is entitled to up to four (4) weeks’ holiday per calendar year.
8. General Terms
a) The Trainer reserves the right to amend these Terms and Conditions where necessary, including to reflect changes in services or legal requirements. You will be notified of any such changes. If you are dissatisfied, you may terminate the agreement after settling any outstanding payments.
b) Sessions may be photographed or recorded for marketing purposes. By participating in Sessions, you consent to the use of such media for promotional and commercial purposes without compensation.
c) In the unlikely event that the Trainer is unable to continue providing services, you may request a full refund for any unused Sessions.
9. Agreement
By signing below, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions.
